Terms & Conditions

Please read these Terms and Conditions carefully before booking an expedition with Photography Group Trips. By making a deposit payment you agree to be bound by these terms in full.

These terms constitute a legally binding agreement between you and Photography Group Trips. If you do not agree with any part of these terms, please do not proceed with a booking.

1. Bookings and Deposits

A booking is confirmed when we receive your deposit payment and send written confirmation. The deposit amount is 25% of the total trip price. Receipt of a deposit constitutes acceptance of these Terms and Conditions in full.

Current deposit amounts for Egypt 2026:

  • Standard Double Occupancy — $1,249 deposit (total $4,995)
  • Luxury Double Occupancy — $1,674 deposit (total $6,695)
  • Standard Single Occupancy — $1,674 deposit (total $6,695)
  • Luxury Single Occupancy — $2,249 deposit (total $8,995)

Deposits are non-refundable under all circumstances. See Section 3 for the full cancellation policy.

2. Balance Payment

The remaining balance is due 90 days before the departure date. Failure to pay the balance by the due date may result in immediate cancellation of your booking without refund of any amounts paid. Payment plan arrangements must be agreed in writing with Eric Berry prior to the balance due date and do not alter the cancellation policy.

3. Cancellation by Participant

All cancellations must be submitted in writing via email to info@photographygrouptrips.com. The cancellation date is the date written notice is received and acknowledged by Photography Group Trips — not the date it was sent. The following policy applies without exception:

Deposits are non-refundable under all circumstances regardless of when you cancel, the reason for cancellation, or any personal circumstances including illness, bereavement, or change of employment.

  • More than 120 days before departure — deposit forfeited, balance refunded in full
  • 90–120 days before departure — 75% of total trip cost forfeited, 25% refunded
  • 60–89 days before departure — 90% of total trip cost forfeited, 10% refunded
  • Less than 60 days before departure — 100% forfeited, no refund
  • No-show or failure to depart — 100% forfeited, no refund

4. Cancellation by Photography Group Trips

We reserve the right to cancel any expedition due to insufficient bookings (minimum 6 participants required), active government travel advisories, safety concerns, force majeure events, or circumstances that in our sole judgment make the expedition unsafe or unviable. In the event of cancellation by us, you will receive a full refund of all payments made directly to Photography Group Trips. We are not responsible for any consequential costs including international flights, accommodation, visas, travel insurance premiums, or equipment purchases.

5. Travel Insurance

Travel insurance is mandatory for all participants and must be in place before your final balance payment. Your policy must cover at minimum: trip cancellation, emergency medical expenses, and medical evacuation. We strongly recommend a policy that also covers your camera equipment. Proof of insurance may be requested at any time prior to departure. Failure to provide proof of adequate insurance may result in cancellation of your booking without refund.

6. Health and Fitness

Participants must be in reasonable physical health and capable of walking 4–8 hours daily on uneven terrain in temperatures that may exceed 90°F while carrying camera equipment. By booking you confirm that you are physically able to participate in all expedition activities. Photography Group Trips reserves the right to exclude any participant from activities deemed beyond their physical capability without refund of any kind.

7. Itinerary Changes

Photography Group Trips reserves the right to alter itineraries at any time due to safety concerns, weather conditions, political circumstances, site closures, or other factors beyond our control. We will make every reasonable effort to provide equivalent experiences when changes are necessary. No refunds or compensation are provided for itinerary modifications where the expedition itself proceeds.

8. Passports and Visas

You are responsible for ensuring your passport is valid for at least six months beyond the trip end date and for obtaining all necessary visas and travel documentation. Photography Group Trips is not responsible for any costs, losses, or damages arising from failure to obtain required documentation. Refunds are not provided if you are denied boarding or entry due to documentation issues.

9. Participant Conduct

All participants are expected to behave respectfully toward local communities, fellow participants, guides, and expedition leaders at all times. Photography Group Trips reserves the right to remove any participant whose behavior is deemed disruptive, disrespectful, or unsafe — without refund of any kind. Our ethical approach to documentary photography is foundational to every expedition and all participants are expected to uphold these standards in the field.

10. Transfers

You may transfer your spot to another person subject to our written approval, provided the request is made more than 60 days before departure and the replacement participant meets our requirements. A transfer fee of $150 applies. Transfers are not permitted within 60 days of departure. You are responsible for all financial arrangements with the person you transfer to.

11. Photography and Media

Photographs and videos taken during Photography Group Trips expeditions remain the property of the individual participant. Photography Group Trips may request permission to use participant images for promotional purposes. We will never use your images without your explicit written consent.

12. Limitation of Liability

Photography Group Trips acts as an organizer and is not liable for personal injury, illness, death, property damage, or financial loss arising from participation in our expeditions, except where such liability cannot be excluded by applicable law. Participation in international travel and documentary photography involves inherent risks. You accept these risks by booking.

13. Force Majeure

Photography Group Trips is not liable for any failure or delay in performance caused by circumstances beyond our reasonable control, including but not limited to natural disasters, pandemic, acts of war or terrorism, government actions, civil unrest, or border closures. In such circumstances refunds will be considered on a case-by-case basis but are not guaranteed.

14. Governing Law

These Terms and Conditions are governed by the laws of the State of California, United States. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of California.

15. Amendments

Photography Group Trips reserves the right to update these Terms and Conditions at any time. The version in effect at the time of your deposit payment governs your booking. We will notify participants of any material changes that affect existing bookings.
